HELP: Computer slows down during POP3 download

A

Alex Malvadisco

Hi !

I have Outlook 2003 on Win XP Pro.
I have 12 email accounts, all POP3.

When I do a Send/Recieve for the whole group, I see that Outlook polls the
accounts at the same time (in parallel)... so, I noticed that when it is in
the process of recieving (downloading) emails, the whole situation takes a
lot of time, it is very slow, and even my computer freezes for a few seconds
and it's very slow... I have to wait until the whole process is over so i
can gain control again. Also, on a nromal day I have like 300 emails for all
accounts, and it takes about 20 minutes to download over a DSL connection.

Now, yesterday I discovered that if I tell Outlook to download each account
at a time, it is PERFECT! In one account I had 120 emails and they
downloaded in a few seconds.... So, I concluded that I should poll each
account at a time.

NOW: Since it is very tedious to do it manually, I need to know the
following and I appreciate very much your help:

a) Is there a way to tell Outlook in a Full Send/Recieve for all accounts,
to do it in a sequencial (serial) mode? Meaning that it first works on the
account 1, then when it's ready 100% it should go to the second, etc..
etc... ?

b) Is my initial problem a known issue and makes it sense to you ? Or may I
have another problem I am not considering and ignoring?

c) Is it possible to have separate icons on the toolbar for each account, so
i just press it on demand ? I tried to look into the toolbar settings, but
there is no way to individualize accounts...

Thanks so much for your time in looking into this !!

Excerpt from: Microsoft Outlook Inside Out by: Jim Boyce
Pg. 196.

You can schedule synchronization for each send/receive
group separately, giving you quite a bit of control over
when Outlook processes your Inbox, Outbox and other
folders for synchronization. You can configure Outlook
to process each send/receive group on a periodic basis as
well as to process specific groups when you exit
Outlook. For example, you might schedule the All
Accounts group to synch only when you exit Outlook even
though you've scheduled a handful of other groups to
process messages more frequently during the day.

To Configure send/receive schedules:
1. choose tools, send/receive settings, define
send/receive groups
2. In the Send/Receive groups dialog box, select the
group whose schedule you want to modify
3. In the setting for group area, select Schedule An
Automatic Send/Receive between send/receive events for
the selected group. Set this option for both online and
offline behavior
4. If you want the group to be processed when you exit
Outlook, select Perform and Automatic Send/Receive when
Exiting

I am an administrator for outlook in my department and
this is a regular complaint

Not that I'm aware of, but you can click Tools,
Send/Receive and there you will find the individual
accounts to select from.
