How can I archive Outlook files and retain quick access?

I have really big deleted files and sent messages files which I like to use
as reference from time to time. However, I need to get the bulk out of the
Outlook files urgently. Is there a way where I can archive deleted and sent
messages yet be able to recall them quickly for review?
I have tried to work through the help suggestions without success so far.

File -> Open -> Outlook data file
Navigate to your archival .pst file.
