Has anyone handled a Google Workspace backup where Gmail is only one part of the data that needs to be protected? Our Workspace environment contains emails, contacts, calendars, tasks, Google Drive files, Shared Drives, and Chat conversations. I’m looking for a method that can handle these workloads without creating several disconnected backup processes.
One concern is preserving the original organization. Gmail labels and folders should remain understandable, while Drive data needs to retain its folder hierarchy. For business records, I’d also want attachments, shared content, and important chat information to remain available after the backup. Having selective filters would be useful when only certain dates, labels, or Drive locations need to be processed.
While comparing different approaches, I came across the SysInfo Google Workspace Backup Tool. Its product information mentions local processing and support for exporting Workspace data to PST, PDF, MBOX, and CSV. It can also work with Google Drive and Chats, while providing authentication options such as OAuth, IMAP with App Password, and Workspace Admin DWD.
Another issue is repeated or interrupted backup jobs. If some data has already been processed, starting everything again could create unnecessary duplicates and waste time. The resume migration and duplicate-handling options mentioned in the documentation seem useful for this type of situation. Detailed reports showing completed, skipped, and failed items would also make verification easier.
I’m also comparing Google Workspace backup software for organizations that need scheduled or repeatable protection rather than a one-time export. Features such as date filtering, selective migration, CSV-based account mapping, and delta sync could be useful when handling multiple accounts.
For administrators who have used a G Suite backup tool, how do you normally protect Gmail, Drive, and Chat data together? Do you prefer local backups in formats such as PST/MBOX/PDF, or direct migration to another Workspace or Microsoft 365 environment?
