How can I create a fax coversheet from a contact in Outlook?

E

Erica Lynn Milburn

In Outlook contacts, the Tools menu gives you the option to create a new
letter to a contact.

Is there a way that I can add the option to create a new fax coversheet to a
contact? Which of course would include the fax number (as well as the name,
company, and phone number of the individual being faxed).

I would really like to be able to click a button and out comes a fax
coversheet ready to go.

Hello Erica,

I noticed that an MVP responded, but failed to give you any thoughts on the
problem you were having. Unfortunately, many are quick to reprimand a
novice poster for a meanial departure from protocol, but slow to give any
constructive help. Here are a few thoughts:

FIRST, regarding the reprimand from the MVP on multi-posting. They are
usually referring to individuals who separately post the same question in
multiple communities or forums. Another way to accomplish the same thing is
to place the separate addresses of multiple forums in the 'Newsgroup' field
for the message, much like placing multiple e-mail addresses in the "To:"
line of an email. This way the message thread will be visible in multiple
communities or forums, but requires only one posting.

SECOND, if you are using Windows Vista, you might be able to use 'Windows
Fax and Scan' as a work-around. Fax and Scan can be set to access Outlook
2007 contacts. This way you can create the fax and directly access your
Outlook contacts from the "To:" field of the fax. The fax can include a
cover page, scanned documents, scanned images, or documents and images from
other applications. I am not sure about the option you mentioned "to create
a new letter to contact," because I do not have that option. However, in
most cases, once you create any letter or document, you can also print it to
the Microsoft Vista "Fax" printer and that will create a new fax. At that
point you can add a recipient from within the fax 'Send' dialog which
displays your Outlook contacts.

THIRD, you might be able to create your own custom form to accomplish this
task. However, that is beyond my expertise. Nevertheless, there is a
community on designing Outlook forms that might be of assistance here.

Your question is a reasonable question. I hope the MVP's provided some
basic help on your other post, if not, then that represents a sorry
propensity to criticize versus help. Either way, this was a good request
and it would have been helpful had Microsoft included a form for directly
faxing out of Outlook. Many of us could have used such a feature.

Good Luck!

Hello, Russ, didn't mean to slander the MVP's. If I waded through all the
garbage you guys do, I'd probably feel the same way. Be assured that we
admire all of you for continuing to help others! It's just that I've
sometimes felt unfairly reprimanded by some of the MVP's, which isn't wrong,
per se, but then they don't even offer the courtesy of a helpful suggestion.
In this case, I felt that Erica, perhaps a very new member, deserved a
helpful reply to at least one of her posts on the subject, not to mention
the prospect of a positive experience on her return.

Thanks, keep us the good work.

Most interesting. First you say "I am anly replying because I see more and
more so called MVP never help out anymore I think these people either answer
or Dont bother replying" followed by "unless you can answer with a reply
dont reply at ALL then the world would work better". Boy, them MVPs are bad
people! So, what did you then suggest as a solution to the Fax problem?
You say "sorry I dont use outlook for faxing...I have a seperate fax machine
that I use so sorry couldnt help" which makes you GUILTY the very faults you
claim MVPs exhibit; you replied with an answer that was of NO HELP
WHATSOEVER to the Fax problem. Brilliant! I thoroughly enjoyed your
treatise on the "correct" way to answer a post. May I also suggest a spell
checker?

I am having the same "problem". I need a fax spreadsheet that I can insert
the recipients info from Outlook with a quick click and print from my printer
and fax via my fax machine. I did not find the answer I need in the previous
responses from this post. Can someone please reply with a solution?

Russ Valentine [MVP-Outlook]

Not here. Outlook has no such ability. It doesn't even try to be CRM
software.
