How do I fix the fonts on different printers?

(Word 2002 SP3) I fixed up a form in Univers Condensed using two different
sizes of that font and printed it on my HP LaserJet 4050 just fine. An
adjuster with the company notified me that when the same form is printed on
either a 4650 or 8150 it is reformatted into Arial, which enlarges the print
and causes the signature lines on the right side to wraparound to the next
line (making a one page form a two page); plus the sizes are not small enough
in certain areas in Arial. Does this mean that the printers have not had the
fonts installed or installed correctly? Am I forced to only use Arial and
try to get the type smaller (by using sub/superscripts)? I try to use
smaller type fonts on some of the forms I do to aid in getting them on the
least number of pages possible but still be readable.

Univers Condensed font is not a standard Windows font. You
either need to make sure the computer that is actually
printing the file has the same fonts on it or embed the
fonts in the file. (File/Options/Save then click on embed
True Type fonts and make sure that the Embed character in
use only is NOT checked. This will probably solve your
problem. It will increase the size of the file however.

Another fix it to only produce Word, PowerPoint, Access and
Excel documents in fonts that come with Windows.

Am I suppose to be in the document to do this? If I am, there is no Options
under File. Also, would this apply only to this particular document? It
would not affect any other document?

OOPS, sorry, should have been in Word check
Tools/Options/etc. Can be changed or checked for location
at any time the program and a file (even a blank one) is
open to make the Option available under the Tools menu.

Adding to previous: I tried the Tools/Options/etc. and it worked - sort of.
The form became one page but the font was still the incorrect one. Should I
give up and put in Arial???

If you select the embed fonts on a blank document it does
not remain checked for the next document (or so it shows on
3 different versions of Word (97, XP, and 2003). It does
remain checked on the document it is saved with however.

I would recommend that if this document is going to be
printed at more than one location you stick strictly with
Windows fonts (Arial, Times New Roman, Tahoma and the
others.)

I have made it a long standing practice to do use Windows
fonts with any Word document or PowerPoint presentation I
create if there is any possibility that it will be used on
someone else's computer (all my special fonts are on all my
desktops and laptops.) I have seen disasters when someone
burns a PPT presentation onto a CD and takes it to a
conference to use on someone else's computer and they have
used fancy fonts that aren't included on Windows. When they
show the presentation, the text runs off the screen to the
right or at the bottom of the screen.
