Migrating from Exchange 2016 to Office 365 can seem complex and time-consuming, but handling it with the right approach makes it straightforward. It is a manageable process that most IT teams can complete without major disruption.

Plan Before You Move

Pre-planning always helps. Start by taking a full inventory of your environment. Count your active mailboxes, shared mailboxes, public folders, and archive mailboxes. By doing this, you will understand exactly what needs to move and prevent nasty surprises mid-migration.

Pick Your Migration Method

Microsoft offers three native paths: cutover (all mailboxes at once, best for small organizations), staged (batches over time, better for larger teams), and hybrid (Exchange and Office 365 running side by side during the transition). Each works, but all three demand significant manual configuration and offer little forgiveness when something goes wrong.

Use a Dedicated Tool

Using dedicated software helps IT admins save hours of frustration. The Shoviv Exchange Migration Tool simplifies the entire process through a job-based workflow. You connect your Exchange 2016 environment as the source, Office 365 as the target, map your mailboxes, apply any date or folder filters you need, and run the job.
What sets it apart is incremental migration. If the process is interrupted, it resumes exactly where it stopped without creating duplicates in the target mailbox. Multiple jobs can also run simultaneously, which dramatically reduces overall migration time for larger environments.
A free trial is available that processes the first 50 items per folder, so you can validate the workflow before committing.

After Migration

Update your MX records to point to Office 365 and give users at least one week of parallel operation before decommissioning Exchange 2016.
Now, the ball is in your court; you can choose the technique that suits you best.
