How do I synchronize a Groove space if it is larger than 2GB ?

According to a message here on 7/6, Groove will *not* synchronize a workspace
larger than 2GB, which explains the problem I was having (there is no error
message or warning, it appears (pretends) to be synching but never actually
does).

OK, so is there anyway to synch the workspace WITHOUT breaking it into
smaller spaces?? Please advise.

Hi Jeff,

The workspace will continue to synchronize as it grows beyond 2 GB, but once
the initial workspace size has exceeded 2GB, it cannot be sent to a new
invitee or downloaded to a new computer. This is documented in the "Learning
more about workspaces" topic in the Groove help.

Once the new member size of a workspace has exceeded this amount, and
purging old data does not bring it below that, the only thing you can do is
split it up. However, you can plan ahead of time to keep the workspace size
for a new member less than the the full workspace size by limiting file
downloads.

Here are three knowledgebase notes that you may find helpful:

916412 "You cannot send a Groove workspace that has an initial size of more
than 2 GB to new invitees"
http://support.microsoft.com/default.aspx?scid=kb;EN-US;916412 -- see the
suggestions under "Workaround".

914751 "Description of the data that you can expect to receive when you join
a workspace in Groove"
http://support.microsoft.com/default.aspx?scid=kb;EN-US;914751

922142 "How to recover disk space that is used by a Groove workspace"
http://support.microsoft.com/default.aspx?scid=kb;EN-US;922142

The last one is relevant if you have queued data or deletions that are
keeping the workspace larger than it needs to be.

Is there a procedure for backing up the source and bringing over a backup grv
file (on a DVD) and, if so, would it then synch up subsequent changes?

Unfortunately, no. The limit applies to importing a workspace as well.

You can look at the workspace properties (right-click on the workspace name
and then click Properties) to see how far over the limit you are. Keep in
mind that the files are compressed in Groove, but changes (including
deletions) remain as part of the workspace until all member devices receive
them, so the workspace size can be larger or smaller than the sum of the
data.

If you can bring the content under the limit by removing files (and waiting
for all members to receive the deletion), you can then put a file download
limit into place and then add the files back. A workspace of this size will
create problems, however, since you can't save and restore it if you have the
optional files. It would be safer to split the content into multiple
workspaces.

(For reference, my largest workspace, an image-heavy one on home
improvement, is 70 MB.)

In all of this, I've been assuming a standard workspace. If you have a file
sharing workspace, 2 GB is the synchronization limit, not the invitation
limit. See "File sharing workspace restrictions and warnings" in the Groove
Help for more information.

The 2 GB limit is restrictive as all our content is becoming more media rich
these days.

Are there any plans in the works to change the 2GB limit? Or, make it a
limit that an administrator can control?
