This community has helped me a lot and as payback I offer
this solution. I work with Access only a couple of times a
year to compile asnd report participant satisfaction
surveys for conferences we produce. What I need are
frequency distributions for each workshop and the
average "score" on a 1-5 scale. But because not everyone
attends every workshop, I need to produce this including
only those participant surveys that reported a score for a
given workshop. Not being a attuned to writing complex
queries I searched for friendly solutions, and found an
Add-In freeware (it was a couple of years ago anyway)
called UnTools (www.CleanDataSystems.com) by Steve
Tessler. Once you have Untools, here's how to get a
frequency distribution and average that doesn't
include "no answer" files/records:
QUERY
1. Use Query Wizard to query on the desired field.
2. In design view, set criteria to ">0"
3. run Query (exclamation point on toolbar). This
produces only records with answer >0 in field. SAVE this
query.
4. Open UnTools and select Unclear function.
5. Select the QUERY run in #3 above, and the field.
6. Select "# Recs" and Sort Order Descending
7. Select "Using a Query" This will produce a table
showing frequencies. Highlight entire table, copy and
paste into a Word document
8. Delete this Untools query and return to Access.
9. In the same query in Design view, pull down "VIEW"
and select "TOTALs"
10. In the column below on the line TOTAL,
select "AVG" and hit the exclamation pt on top (RUN).
this should give you a table giving you the average of the
answers. Copy into Word.
11. Back in DESIGN view, pull down VIEW and unselect
TOTALS.
12. In the column below click on the next survey item
and follow instructions from #3 above.
