How to hide workspaces [07]

I created a new category for completed projects that makes them read only.
How do I set it up so that the project workspaces do not appear on the home
page, but can still be accessed by team members and / or PMs?

Hi Renee,

sorry, but there is not configuration that allows you to amend the workspace
web part. Once a project has been archieved only then the workspace disapiers
from the workspace web part.

Alternetafly you can of course restrict the Access to the Workspace manually.

The Workspace web part has not functionality at all which is very
frustrating.

Instead of Archiving completed projects, we are hiding them from the Project
Center views and making them read only. We will often need to refer back to
the project schedules or documents. What part of the archiving process keeps
team members and the PM from seeing the workspace on the home page?

Unfortunalty it is not that easy,

every PS back up you do will save a version of your project into the Project
Server Archive Database. Lets assume that you have a project which has long
been gone and you dont want to see it in all views. there are 2 ways to deal
with it.

If you dont want anyone to see any information but maybe want to restore it
one day to check data, you can backup the project, which will keep it in the
Archive DB, then you can delete the Project from the draft and publised DB (
can be done in Server Settings under PWA ). This will make the project
disapear, but with the option of restoring it should it ever need to be
restored again.

The second option is to create a new security category. By moving the
project into this category and only giving this category to PM's or relevant
TM you can avoid having someone else look at this information. By using the
security within the category you should be able to restrict the access to the
workspace as well, meaning that the workspace can only be seen by the users
which have been associated to this category.

We have chosen the category option. Still have the issue that completed
project workspaces are intermixed with active project workspaces. I guess we
could sort by date added to make it a bit easier. The biggest issue is that
Management can see all projects and now have a list of well over one hundred
workspaces to sift through. The project server has only been in production a
few months, so this worries me. It does not sound as though there is a good
solution. I will see if we can archive the workspaces themselves since these
are not backed up through Server Settings. Maybe then I can remove the URL
or restrict access. Thank you for your help.

Hi Renee,

I'm currently trying to plan for the problem you seem to be having, and it
does appear to be a little distressing that there is no clear solution. To
be honest, I get the impression that there are a few parts of the project
server workflow that don't seem that well though about...

If you do find an acceptable solution, could you post it up here so we can
all see? I'd be very interested to hear how you did resolve the issue.

I would suggest to remove the workspaces web part from the PWA home page. As
users can see ALL workspaces with this web part. Then train the users to use
the project center | Goto | Project Workspace to access there workspaces.
