How to save and email MPP reports

K

Kartik

I would like to save or email MPP reports in a word document or as a gif
image. Please let me know whether this is possible in Microsoft Office
Project Standard 2003 version without attaching the MPP file.

If not, is there any freeware which allows you to do.

Few reports i would like to send are Slipping tasks, Tasks Starting Soon and
Completed tasks.

Thanks,
Kartik

Thanks Julie for the quick reply. However the solution mentioned in FAQ # 16
works only for the different views in MPP (Calendar, Gantt Chart, Task Sheet
etc...) and not for reports.

Best Regards,
Kartik

Save reports to Adobe PDF (with Adobe Acrobat which you can purchase or
find other products that made PDF files, free or otherwise). There are
other ways, e.g. SnagIt! (screen shot copy or use their printer driver),
or lots of other ways, e.g. the Microsoft Document Image Writer (which
you might have already).

All these ways ware INDEPENDENT of Project. Outputing from a Windows
program to paper, electronic file, or other is a service by Windows.
Really, nothing to do with Project, so I recommend you stop thinking of
it that way.

Just find a way which works for you and the people you wish to read your
stuff.

Hi Kartik,

Thanks for the feedback. I'm sorry, I should have been more specific in
my reply. As Rod noted, reports in Project can be "printed" to a pdf
program (such as Adobe Acrobat or some of the other options listed at
the end of FAQ #16). Printing to the pdf program creates a file that
can be emailed to others without MS Project.

The data that makes up the report can also be exported to Excel through
a File > Save As command.

The reports that you list are tables with various filters applied. For
example:
The Slipping Tasks report is the Variance table with the "Slipping
Tasks" filter applied. When you use the export to Excel, the Export
Wizard starts and you can select a table and a filter to apply to the
export.

To see what table and filter are applied to create a report, select View
Reports select the category and report and click the Edit button.

Sorry for not being clearer.

I hope this helps. Let us know how you get along.

Thanks Julie, the information was helpful. But i really need to manipulate
the data like highlight slipping tasks which have slipped more than a week,
roll up the tasks to summary level where i would like to hide etc...

Excel just does not have the WBS structure format and html just gives out a
plain display of tasks. PDF i'm sure will not give such facility either.

Finally i have sent the MPP to stakeholders and ask them to see the reports
for themselves.

Thanks for being patient with me,
Kartik

Hi,

I don't understnd this.
YOU do the manipulmation then YOU szend the reports isn't it?
There is no need whatsoever to have the stakeholders manipulate the file so
they don't bneed MSP, just a view (pdf or any)

You should do all this manipulation in Project. (Consider using the
Status Indicator to show slipping tasks), filters to show what you want
to show, etc. Then "print" to PDF and email the PDF file to the
stakeholders. Better yet, put all this info into document and provide
elaboration and explanation. Send a PDF of document.

I recommend you DO NOT send the MPP files to the stakeholders and expect
them to use Microsoft Project in anyway whatsoever. Since by definition
Stakeholders are not expected to be PM's and tend not to know how to use
Microsoft Project, it's highly likely they will use Project wrongly when
looking at your data and come to erroneous conclusions ... at that point
your problems as as a PM are only starting.
