Thank you so much for your reply.
The Version i installed is office 2003.
Below is the way i backed up the file:
1. File
2. Import / Export
3. Export to a file
4. Personal Folder File (.pst)
5. Selected the folder to export from including subfolders
6. Save exported file as E:\ Backup
This prompted an error, therefore, the help i asked told me to first save
the file to the desktop then copy and past it to the external drive.
Now, following the instruction on how to import back up, i encounter the
problem.

more carefully at your versions. Outlook 2003 would not produce such an
error message.
