Inactive Projects

Once a project is published, all of the resources see their tasks. What can
be done if a project is put on hold or cancelled? I don't want to delete
the project from the server, as we'd like to keep it for historical
purposes. On the other hand, I don't want my resources to see tasks from
the project as requiring their time. I could remove the resources from the
tasks, but it seems that there should be a better solution.

Any suggestions?

You can simply change each resources booking type from committed to
proposed via Build Team. Users will not see the tasks for that entire
project via PWA.

If I have a resource assigned to a task - even if they're proposed - they
still appear on the list of tasks for that resource when I view resource
assignments for that resource in PWA. Even worse, the task will never go
away because it will never be completed.

You stated two problems in your original post and Scott provided one
possible solution. Here's an opinion:

1. If the project is merely "on hold", then I would recommend that you
follow Scott's procedure and set the project team members to Proposed in the
Build Team from Enterprise dialog and then click Collaborate - Publish - All
Information. Doing so will remove the project tasks from each team member's
timesheet in PWA. When the project resumes, you should reschedule all
Remaining Work in the project into present time periods using Tools -
Tracking - Update Project and selecting the "Reschedule remaining work..."
option. You should also set each team member to Committed and then do
Collaborate - Publish - All Information to get the latest project
information everywhere in PWA.

2. If the project has been cancelled, I would recommend you save it as an
..mpp file, archive it in a designated network folder for cancelled projects,
and then have your Project Server administrator delete the project from the
Project Server database.
