Minus the month.5 of working here, I have 0 experience with Access and databases in general. If you think I can adopt a better system feel free to advise.

The situation is this: I work for a temp agency, which is basically a human resource company. According to the law, some papers in an application can't be stored with others(Applications, which can't ask for birthdate, need to be separate from I-9 forms, which require a birthdate, etc.) So I am going through thousands of records, some of which have been previously entered. Which means I need a method of discerning as I go along which names have been entered and which have not.

During my initial exploration, I stumbled onto the fact that by using a subform within a form that correlates the 'last name' field to my main table, I can display all the records with the same last name, which with the exceptions of what I'll call mega-lastnames (johnson etc.) is very efficient at determining if a record has been previously entered.

Narrowing down my list to matching last names and first names would be outstanding.

Otherwise, I would like a setup in which I enter the SSN first, and if it's a duplicate then the 'validation text' would display the matching record. The problem I have here is that several records are already duplicated, due to faulty practice by previous holders of my job I'd guess.

If you can help, please give very simple instructions and assume that I know absolutely nothing. Also, I am interested in an email/Messenger correspondent to keep in touch with and provide consistent assistance.
