One space between sentences

Tim

I have switched to using only one space between sentences, but I get
documents from people who still use 2 spaces and I have my grammar
check set for 1 space (and would like to leave it at 1 and not "don't
check"). Would anybody know of a macro that I could run that would
check a document for 2 spaces between sentences (or periods) and change
the document to one space between sentences. It is not that bad doing
it in spell/grammar check as long as I ignore everything but the
messages for extra spaces between sentences. I am using Word 2004 V11.1
with a powerbook G4 running Mac 10.4.2

Hi Tim-

You really don't need a macro but if you need to do this frequently it
might be worthwhile.

Use Find/Replace... type 2 spaces in the Find field & 1 space in the
Replace With field. as long as you're confident that all occurences are
to be removed, click Replace All.

One point of caution is that those same people may have used multiple
spaces instead of Tabs, so you might want to check that first. Turn on
the ¶ (Show/Hide), and if that is the case you might do well to
address that first. If the user has consistently used 5 spaces instead
of Tabs, type 5 spaces in the Find field and type ^t in the Replace
With field. You may still have to adjust the tab settings afterwards.

For ordinary text, simply use find and replace.
There is a small risk that some inept formatting will be screwed up.

F'rinstance. find "^w" replace " " will reduce all multiple spaces to a
single space - with wildcards off.

You could get fancy with find ". ([A-Z])" and replace with ". \1" to
find (with wildcards on) only double spaces between a period and an
uppercase letter. Search Word help for "wildcard" and follow your nose
to find out how that works.

You could record a macro to do that. I find it easier to do it from
scratch than to remember what I caled the macro ;-)
