Outlook 2002 - Max file sizes

C

Chris Goulding

When I realized I had reached the max file size for
Outlook 2002 .pst file, we created a new folder and
directed incoming emails to it. In checking the file
sizes and dates, the new Personal Storage folder seems to
be working fine, but the outlook.pst still seems to be
dangerously close to max size and appears to be updating
with every new email. Is there any way to change the
default from outlook.pst? Is there any way to back it up
and then completely clear it? Any other suggestions?
(Everything up to last month is archived in 2 different
archive folders.)

1. Empty your deleted items folder.
2. Delete your sent items.
3. Remove attachments.

Chris,

Check you have set the Delivery Location correctly to the new PST
file...

1. Shut Outlook, goto Control Panels
2. Open Mail
3. Click Email Accounts
4. Select "View or Change existing email accounts"
5. Confirm the drop-down in bottom left hand corner of the dialog
titled 'Delivery new email to the following location' is set to the
name of your new PST file
6. OK your way out of the dialogs, restart Outlook

I would expect the reason the date/time keeps changing on your 'new'
PST file is that Outlook is modifying it in some way on startup.

You might want to look at our product (PSTCompactor) if you can't keep
the PST file's size under control.

Regards,
Geoff.

Creating a new folder and creating a new PST aren't the same thing. Did you
create a new folder within the same PST, or did you create a new PST (i.e.,
File>New>Outlook Data File)? You must do the latter, and then use
Tools>E-mail Accounts>View or change existing e-mail account>Next and change
the default delivery location to the new PST. The old PST will then no
longer get bigger. You'll want to copy the contents of the old Calendar
folder to your new Calendar folder so that items you've placed there are
active. You can even create a third PST, move some of the data from the old
PST to the third PST, compact the old PST and have two PSTs holding your old
data, both a a reasonable size.

An alternate approach would be to create a new PST (File>New>Outlook Data
File) and move to it any items from the current PST you wish to keep, but
not have in the active delivery location. You can then compact the current
PST to reduce its size. That way, you don't have to change the default
delivery location, plus you get a reasonably sized PST again.

What is the maximum PST file size? I did not realize there was a
limit.

For Outlook 2002 and earlier, it's 1.83 Gb. If you exceed that, you _will_
corrupt your PST. People have, on occasion, reported corruption when
exceeding 1.5 Gb, but I personally think that's rare. My own discipline is
to never exceed 1 Gb.
