Outlook and Windows XP Fax

O

Trying to use Windows XP Fax for the first time...

I want to fax all my contacts in a subfolder under Contacts in Outlook. But
in the Send Fax Wizard, only the contacts on the root of Contacts appear.

I have tried to copy all contacts in a subfolder to the root, fax them and
then delete them when I'm finished. This works, but it is not the easiest
way, and I'm afraid I'll one day delete the wrong folder and loose my
contacts. (Yes, I know I should have better backup-routines...)

Any ideas for a better way to do this?

There is also one other problem. When I have registered both business fax
and e-mail on a contact, the person appear twice in the adress book in the
send fax wizard. When I select all, I do not want every contact to get my fax
two times.

I hope someone can help!

Since XP Fax actually uses the Outlook Address Book, all you need to do is
enable your fax subfolder as an email address book in its properties. Then
it will appear in the fax address book, too.

Thank you for your answer. That fixed my first problem.

Then to my other question: Will every contact receive two faxes when they
appear twice in the adress book?

That would depend entirely on how you select the recipients. If you want to
select the entire address book at once, and if the Contacts also have other
electronic addresses, then they will receive a message to each of those
electronic addresses.
If you created this folder only for fax recipients, then fax numbers should
be their only electronic address.

OK. I've seen from from the discussions in "Outlook Contact" that this is a
problem that many people have. Has really nobody found a good and easy fix to
this?

There are several solutions. Which one works best for you depends on what
you want to do, which you have yet to clarify.

I have organized my customers and potential customers in subfolders. There is
now up to 1000 contacts in every subfolder. When I'm in Windows XP Fax and
shift-select the adress book from top to bottom, I want every contact to get
one and only one fax.

The same goes when I want to send e-mails to the same contacts in that
subfolder.

Then you have not grouped your recipients correctly. If you want to use the
address book for recipient selection, then your subfolder must contain
Contacts who have only fax addresses as their only electronic address.
I believe you will find that using XP Fax will not allow you to send to as
many recipients as you would like. It is not designed for that purpose.
