I tried to backup outlook at a company lately but they had problems, please
note their email to me, sorry it's a bit long winded.

I hope you can help with this; I have been onto the discussion boards on the
Outlook home page and posted the question but got no replies. I have Outlook
for dummies but it is not technical enough to answer the question.
When we backed up my Outlook the last time you came in it backed up
everything ok except for the contacts and Calendar appointments.
I have listed below what the problems were.
CONTACTS THE PROBLEM
1) The contact views that I customised using user defined fields from
the contact forms did not show up in the views but the custom fields were
still listed in the available user defined fields listing box.
2) When I redesigned the contact views and added the user defined
fields the information did not appear against the relevant custom field even
though it was in the field within the relevant contact record.
3) I had to redesign the contact forms ( X 6) by deleting the existing
custom fields, creating the same but new custom fields and adding them to
the contact form to finish the redesign work.
4) I then redesigned the custom contact views and added the new custom
fields.
5) The custom views then displayed all the right information in the
right place for all the custom fields.
6) This process took quite a lot of time to complete and I did not
know if it was going to work but luckily it did. Somehow Outlook kept the
information that was in the original custom fields even after they were
deleted and then populated the new (but same) custom fields with the
information once the new fields had been added to the redesigned contact
form. The information also showed up against the relevant views in the
customised views which now contained the new custom fields.
CONTACTS THE SOLUTION I AM TRYING TO GET
I want to back up all my contacts in Outlook and have it remember all my
custom contact forms with my own user defined fields, deleted standard
Outlook fields and custom views. When I restore the file I want my contact
forms to look the way I have designed them with all my custom fields and
without the standard Outlook fields that I have deleted from the forms. I
also want all my custom views to remain the same and contain the relevant
information against all my custom fields that are contained within the views.
CALENDER THE PROBLEM

appointments (100+) to the relevant contact record. When I clicked on the
link to the contact in the bottom left hand corner of the appointment I got
an error message. It said something like this is not available for this
record. (The contact was still listed in the bottom left hand corner of the
appointment but the link did not activate, I got an error message instead.
I had to go through and delete all my calendar appointments and then
recreate them all again.
CALENDER SOLUTION I AM TRYING TO GET
I want Outlook to keep all the links in my appointments to the relevant
contact record.
THE COMPLETE OUTLOOK SOLUTION I AM TRYING TO GET
I want to backup everything in Outlook to one file and then restore it and
have everything the way it was when it was backed up including all custom
forms, fields, views and calendar appointment links to the relevant contact
records.
I hope I haven’t laboured the points too much but I am just trying to
explain as fully as I can what the problem is and what I am trying to
achieve. I could quite easily end up with 1000 contact records and calendar
links so I really do want to make sure that I can back up and restore the
file exactly as it is.
