Outlook XP toolbar doesn't work when sending directly from Word

My problem started when trying to archive outgoing correspondence to a Public
Folder. I added the "Copy to Folder" command in a new message window and
that part works great. The problem is that when users email documents as
attachments directly from the application (Word,Acrobat etc) that command
button is greyed out. They want to be able to keep a record of everything
that goes out (including docs) so any help on this would be greatly
appreciated.
