Printing data only forms

P

Parley Kennelly

Hi there,

I've created a fill in form for Word 2000 and used text boxes so I could
precisely place the fields for ease of printing on a preprinted form. I
would like to print data only, but when I select this option it doesn't
print anything that's in a text box.

Is there another way to precisely place text or to get Word to only print
data but includes data fields that are inside text boxes?

TIA

If you want to use the "print data only for forms" option, you cannot
use the regular text boxes. The only form data that will be printed
is that which entered into a { FORMTEXT } box. (Nor can you include a
{ FORMTEXT } box inside a regular text box.)

To access these, activate the Forms toolbar [right-click in the
toolbar area then check Forms]. For each field, position your cursor
where you want the text to begin, then click the ab| box.
Right-click->Properties or click the FormField Options box on the
Forms toolbar and you will see a variety of options!

I've found that the best way to design such forms is to position the
fields inside a borderless table - which, in combination with [Space
before] and [Space after] paragraph formatting, also gives you the
ability to restrict the length of the fields and cells, and the height
of the rows, so that text can be precisely placed. I've also found
that changing the Measurement Unit to Millimetres
[Tools->Options->General] makes life easier!

After you've set the print options, be sure to Protect your form
(click the lock button on the toolbar) and then save it as a Template.
