Problems with hyperlinks in Visio and when pasting flowcharts to W

Hi,

I'm having trouble with hyperlinking in Visio. While I know how to hyperlink
there are some functionalities that I can't get to work either because I
don't know how or maybe Visio doesn't enable me to do.

What I would like to do but can't are:

- Within a flowchart shape have multiple hyperlinks. For example, I may have
two rows of text within a shape. Both rows of text would be hyperlinked to
two different websites. At the moment all I am able to do is only have one
hyperlink within a shape.

- Paste a Visio flowchart to Word with the hyperlinks still working.
Currently when I paste to Word, the hyperlinks don't work. Is it possible for
the hyperlinks working when pasting to Word? The reason why I would like to
do this is because not all staff in my organisation have Visio but they
obviously have Word.

I'm using Visio 2007.

If anyone can answer the above two issues or perhaps give me some other
options, it would be greatly appreciated.

Hello John,

1 - Adding hyperlinks to multiple lines of text

Visio certainly supports multiple hyperlinks in single shapes. If you run
through the Ctrl+K process

multiple times you'll get multiple links and these appear via the context
menu (right click). However if you want to have different hyperlinks in
different runs of text, then you probably need to separate your text into
separate text shapes. You then:
a) manually position the text shapes
b) group text shapes (this would have the side effect of having to
sub-select the individual shapes within the group in order to get to the
respective links - not great)
c) have the second text shape track the position of the first using a GUARD
function on it's PinX and PinY (see this link if you've not come across the
ShapeSheet before -

2 - Supporting hyperlinks in Word

This is a little more tricky. Normally you can embed a Visio object in Word
and then the user can open that object if they also have Visio / Viewer
installed.

If you're just using Word as easy transport medium then you might be better
off using another format such as a web page (see File / Save As Web Page),
PDF or XPS (see File / Publish as PDF or XPS in 2007) formats or, of course,
Visio Viewer (a free download

Again, your colleagues will have to have the respective viewers installed
for the last three options and this may or may not be an issue for you. If
you're all on a network then I'd definitely look at Save as web.

A few points for hyperlinks in the fixed file formats -

PDF only appears to show the first hyperlink if a shape has multiple ones

XPS doesn't show any hyperlinks if a shapes has multiple ones

XPS ignores the text group shape and shows two individual hyperlinks (which
makes 1b above a good option for this format)

I think it would be great to have different hyperlinks in different
text runs of a given shape. That is, it not being, a major undertaking
to format it and maintain. Breaking it into multiple shapes sounds
like a nightmare to me.
