Proposal data management document or template

Our company responds to hospital requests for proposals (RFP). Most are
prepared in Microsoft Word or Excel. Many of the questions are similar to
other RFPs we have done but we have to manually look through past documents
in order to keep from coming up with new responses every time. Can anyone
recommend a software program that we can use, or even suggest something that
Word or Excel already have available, where we can mark individual responses
in our documents so that they will be added to ONE CONSOLIDATED document that
we can peruse for the response that best fits the current hospital RFP?

Simplest/cheapest method: Create autotext entries and add them to a toolbar
that has meaningful button names. (Autotext entries are created in
normal.dot by default, so you have to use the organizer to move them to your
RFP template. See:
http://www.officearticles.com/word/using_the_organizer_in_microsoft_word.htm
)
Middle of the road method: Hire a programmer who can help you automate a lot
of your proposal building tasks.
More expensive method: Buy some new software everyone must learn.

I'm not sure if this will work but I will work with it and let you know.
Thank you for your quick response. No matter what, it has opened my eyes
about the "Organizer", and I believe it will help me in other ways too. I'll
get back to you with my results.
