Publishing Projects

R

Ramesh

I am really confused about the various publishing
options : Yes, I did read the help and it is still
confusing because I ran into problems with new tasks and %
completions not being shown on the PWA view. Please
correct me if I have this right.

Brand new project:

1. Colloborate -> Publish -> Project plan (this will
publish the project and make it visible thru' PWA)
2. Colloborate -> Publish -> All information ( this will
notify the resources about their tasks)

Project with new task updates :

1. Colloborate -> Publish -> Project plan ( this will
publish and update the project in the PWA view)

2. Colloborate -> Publish -> New and changed assignements
( this will notify the appropriate resources about the new
tasks)

Is this ok ?

Gracias,

Ramesh --

I personally use the following method for publishing, and recommend it as a
best practice for my clients:

New project and never published --

1. Collaborate - Publish - New and Changed Assignments...
2. In the Publish New and Changed Assignments dialog box, edit the text of
the e-mail message and click OK
3. Collaborate - Publish - Project Plan, then click OK

Step 2 above is an important one to do individually as it allows you to
personalize the e-mail message and to sign your name to the message. I
believe it fosters more personal communication in an impersonal environment.
If you do Collaborate - Publish - All Information instead of the 3 steps
above, you are not allowed to customize the e-mail message and the generic
message is sent instead.

Existing project already published, but with updated task/resource
information --

1. Collaborate - Publish - All Information

Once the project has been published, I don't separate the publishing steps,
and prefer to do them all at once in Collaborate - Publish - All
Information.

Hope this helps.
