REALLY deleting task assignments from Project

K

Karen

I have just noticed that tasks that I have removed from
Project Plans (via the Project Pro interface) are still
appearing in my "Resouces - All Tasks" view when logged
in as the uber user on my Project Web Access view.

They are denoted in the left column with an "x". When
you mouse over the x you get a message that "this task
assignment has been removed from the project by admin".

It's getting to be a pretty messy view because of these
old task assignments - any way to clean it up and not
view these? I suppose I can create a filter but the
filtering capability in Web Access has not struck me as
being tremendously useful for my purposes. I use this
view for validating whether my resources have entered
time for the last week, I'm open to other ideas for doing
that as well.

Thanks in advance -
Karen

Karen,

I think you will find that deleting is a 2 step progress.
Project 2002 will not actually remove the task from PWA.
The resource needs to go to their Tasks in PWA and use the
Hide feature to get the task out of PWA.

See if this will solve your problem. Jim

Thanks for your reply, Jim, but it's not the resources'
view that's the problem, it's the Admin one. When I'm
looking at all resources and tasks across my team I have
too many assignments when you consider all the ones I've
deleted. I want to remove it from the Admin - Resources -
View all assignments view, but there is no "hide"
function.

I believe this has been discussed at length in this forum previously.
What I took away from it is that even the "Hide" function has
drawbacks, that once the project is saved, all the hides return. My
big objection is that the deleted tasks or deleted assignments
continue to be e-mailed to the original resources, making the emails
essentially worthless. The only solution I have found is to open the
project, save as file, delete it from the server, and then save the
file back onto the server. If it is an active project, you will then
have to republish and "overwrite resource inputs" to get the hours
right. If somebody has a better way, by all means let me know.

One solution to delete removed assignments from Project Server and so
not view them in PWA is to delete in the Admin/clean up database page
all the tasks for one or all resources. Then you have to republish
assignments.
I think it's a good solution for small or medium enterprises or if you
are the only responsible to publish projects.
Else, I don't know an easier way to "refresh" the assignment view.
Unhappily, there is no field "Removed assignment" which we could use.

Note : One bad thing is that the assignments of a deleted project are
still in the tables of Project.
Hope it will be helpful
