Resouce groups

Hello,

Is it possible to create resource groups within Project
Pro/Server ?

If as part of a project I'm scheduling a recurring task,
say a regular status meeting, or group meeting, that all
team members will attend, I don't want to assign every
individual in the team to that task (especially if it's a
large team), I'd rather create a resource group and assign
that group to the task.

Is this possible ? There must be soem accepted easy way
to do this as I can see this sort of event occuring on
most projects, although I can't figure out how to do it
easily.

There must be but there isn't. Are you trying to model each individual
meeting as a task in the Project plan? For what purpose? Do meetings affect
your schedule or are you simply trying to capture time spent in them?

Thanks for replying.

Part of it is tracking time. If the project calls for a
regular weekly meeting that everyone attends it is worth
while tracking the time spent at those meetings,
especially if it is a long project. If I don't assign all
the resources to that 'meeting' task, they won't be able
to report time against that task. Creating a resource
pool seemed to be the best way to assign everyone to that
task.

It's a shame that that feature isn't available. Maybe
there's another way instead of just adding everyone name
to the task.

The easy way to assign resources to a recurring task, such as a regular
weekly team meeting is to do the following:

1. Select the recurring task itself, rather than the individual occurrences
of the recurring task
2. Click the Assign Resources button to open the Assign Resources dialog
box
3. Select the first resource, hold down the Control key, and then select
each additional resource
4. Click the Assign button

When you look at each of the occurrenaces of the recurring task, you will
see that the people have been assigned to all of the occurrances
simultaneously. Hope this helps.

I'll offer another alternative to Dale's suggestion: You can use a hammock
task or fixed duration task to model project-specific overhead tasks
assigning resources to these tasks at a very low percentage of effort. So,
you might have one task in your plan called My Plan's Meetings, another
called My Plan's Travel, and so on. This way, no matter when they occur,
resources can post actual time to them, and you, the PM, don't have to
clutter your mind, plan or Gantt Chart.
