Hi everybody:

I am in search of either a built-in capability of Microsoft Outlook or a
plug-in that will save me a lot of wasted time in the future. Basically, the
situation is as follows:

When attempting to schedule meetings in Microsoft Outlook, I add the meeting
participations easily enough, but when it comes to scheduling the room, it's
highly frustrating and inefficient. I work at a Corporate Campus with over
500 meeting rooms which are being used all the time, so unless I schedule a
meeting well in advance it's very difficult to find an available room. So
within Outlook I have to manually add rooms merely to check if they are
available or not. This results in me wasting time by adding room after room
to see if it's already booked, and then removing room after room once I
discover they are.

I am looking for a feature in Outlook or an Outlook plug-in where:

If I choose the participants and the time slot for the meeting, it will
allow me to choose from a list of open and available meeting rooms; OR the
first available meeting time where every participant is available?

Any suggestions will be greatly appreciated! Thank you in advance.

Do a separate "temporary" request for open room from ALL the rooms, note
first free one and use that room in the meeting request for the
participants.

Bob:

Thank you for your feedback. However, maybe the way I phrased what the
problem was or the solution I am seeking was incorrect. I am currently doing
everything the way you mention, and that is what I'm trying to avoid. What I
would like is a way to automatically check all meetings rooms from a
directory and give me a list to choose from with ONLY the available ones.

So I'm looking for a plug-in or built-in feature of Outlook that
automatically filters out the booked meeting rooms for the time I choose.

How about r-click the meeting timeline then "Autopick" and then "All
people and one resource"

That works to some degree but the main problem still exists; which is that I
have to manually add meeting rooms. I just want to input the time, date, and
participants and have Outlook show me a filtered results list for me to
choose from that only displays unbooked meeting rooms.
