Sending faxes from Contacts

L

I am trying to send a Word document via fax using the Microsoft Fax Console
5.1. When I open the "Send Fax Wizard" and click on "Address Book," the names
that appear from my Outlook 2003 Contacts folder show their email addresses,
but not their fax numbers.

How can I get the "Send Fax Wizard" to show the fax numbers and thus avoid
having to enter the fax number manually?

Yes they do, but they're not showing up in the fax wizard.

If the Contacts have valid, resolved fax numbers and if you have configured
Outlook correctly as your default mail program and contacts manager, then
the fax numbers will appear in the address book view of the Fax Console.
You should never use the Send Fax Wizard from Word. It is an outdated relic
that does not work. Print to the Fax printer instead.

I am actually printing to the fax printer normally (I had only tried the Send
Fax Wizard as an alternative -- although the "Welcome To The Send Fax Wizard"
appears immediately as soon as you go to File/Print/Fax/OK from Word or
elsewhere.) The Contacts have valid, resolved fax numbers; Outlook 2003 is
and has been by default mail & contacts manager for years.

The fax numbers are NOT appearing in the address book view of the fax console.

The interesting thing is that I have two Contact folders in Outlook 2003
(one for business, one personal.) They are both configured with he the same
guidelines; however, one does show the fax numbers, in the Address Book view,
the other doesn't, even though the fax numbers in its records are there.

What is the problem?

Are both contacts folders enabled as address books? Right-click each,
choose Properties, then the Outlook Address Book tab and see if "Show this
folder as an e-mail Address Book" is checked. In the contacts folder whos
eaddress book view doesn't show the numbers, when you examine the contacts,
are the fax numbers underlined?

Both Contacts folders are enabled as address books. The fax numbers in the
Contacts folder whose address book doesn't show them are indeed underlined.

Try changing one of the fax numbers to itself and then save the contact
again. Does that make any difference for that contact?

Yes it does! The fax number for that specific contact (and that contact
alone) does appear in the address book window now... Should I do the same
thing with my 1788 contacts in that folder, one by one, or is there a
"blanket solution" for this malfunction?

Thank you, at any rate, for pin-pointing the problem.

I don't know of a blanket solution, but start looking here:
http://www.slipstick.com/addins/contacts_entry.asp . Did you by chance
import all those contacts at some point? Importing is notorious for leaving
electronic addresses unresolved.

Thank you for that most useful website.

I do export/import one of my Contacts folders periodically but,
interestingly, that is not the one whose fax numbers are not showing in
Address Book view.

The Contacts folder that is giving me trouble is one which I routinely sync
everyday between my home and my office computers, using my Palm TX as the
intermediary conduit. Maybe that's what's generating the problem.
