Setting up a insert text Macro..How????

I use Outlook calendar function at work all the time to
organise meetings. When i organise these meetings i am
continuously typing in the same text in the new
appointment comments bit.

How can i create a macro or some autotext feature that
automatically inserts the text when i create a new
appointment or assign a function to certain keys so that
the text can automatically insert.
