Sharing resources

How can I check if a resource I want to assign an activity is already used
in another project in the same days?

We have a Project Server 2003 and use Project professional 2003.
If I open Organization Resource Pool, open some resources, and select
Resourse Usage, there are only blank fields and the "work" column is set to
0h for all the resources, even if they are already used (importing them from
project server) in many projects.

We actually save projects as .mpp files. Can this be an hint to solve the
problem?

Is there a way to be promted for a warning when I try to assing work to a
resource who is already assigned in the same days (in the same project or in
a different one)?

Thanks!!

If you save your projects in the Project Server database, then the Resource
Usage view will show resource assignments across all projects in your
organization's portfolio of projects. You can use this view to determine
resource availability for project work during specific time periods in your
active projects. I would recommend that you stop the practice of saving
projects as .mpp files and begin saving them in the Project Server database.
Doing so will give you the full functionality that you seek from the system,
including resource management capabilities. Hope this helps.

Hi Dale, thanks for your reply.

I'm performing some trials on projects saved in Project Server. I created 2
projects and assigned some activities to a single resource.
Then I save and publish all imìnformations.

When I open Enterprise Resource Pool, I still have all "0hrs" for all the
resources, even for the one I assigned in the 2 projects directly saved in
project server ("projectname.published" as the name on the window bar).

What am I doing wrong?

You're looking in the wrong place. To view a resource's work across all
projects in the portfolio, simply open any project in which the resource is
assigned and apply the Resource Usage view. Hope this helps.

OK Dale now I can se other projects assignements thanks!!

One last thing: when I save projects on Project Server, how can I back-up
them? Does Project Server creats in some folder seprate files for each
project?

Thanks again!

Your organization should perform a regular backup of the SQL server database
containing the Project Server information.
