Task Updates going to two Managers from one Resource

Darrell

I have a situation where I originally published a project for a PM. Once the
other PM was up-to-date on using the Server w/Project Pro the PM re-published
the schedule and checked the "Become the Manager for these assignmnets" box.
Now when resources update tasks the PM gets some updates and I get other
updates from the same resource instead of all updating going to the new PM.
It is as if I am the owner of some of the tasks and the PM is the owner of
the rest of them. Will the PM re-publishing again resolve this?

Ask the new PM to do the following:

1. Open the project in question
2. Click Collaborate - Publish - Republish Assignments
3. At the top of the dialog, make sure that "Entire project" option is
selected
4. Select the "Become the manager for these assignments" option
5. Click OK

Doing so should give control of the entire project to the new PM. Let us
know if this helps.

Dale,

We did that when I originally set up the schedule on the sever and gave it
to the PM. The PM does get most of the updates but, every now and then when a
resource sends an update the PM gets some of the updated tasks and I get one
or two as well. I will be working with the PM Monday morning and will
re-publish the schedule again to see if it goes away, I will also make sure
it says "Entire Project"

Dale,

It seems to be tasks in the timesheet may be duplicated. Ask time
reporter to check the project manager name against each task in the
timesheet. I guess there will be the same task published by both the
managers. Select the duplicate task and click Hide on menu. (Make sure
that selected task should be at lower level, but not at summary level).
Once the time reporter deletes the duplicate tasks, then you won't get
updated tasks. I hope this will work.

Thanks

Darrell,

It seems to be the tasks got duplicated in the timesheet. Ask the time
reporter to check the each task and look for project manager's name
in the timesheet. Select the task published by wrong manager and click
Hide. (Hide located at lupper left corner of the time sheet). Make sure
you select the lower level task to Hide. (Don't select summary level
task)
I hope this will work.

Taken straight from MS and it worked for our org....

Change the manager of a project
To change the manager of a project so that the new manager can send and
receive task updates, the new manager needs to republish the assignments in
the project.
1. From the Collaborate menu, point to Publish, and then click Republish
Assignments.
2. In the Republish assignments for box, select one of the following:
• Entire project to republish all assignments in the project.
• Current view to republish only those assignments appearing in the current
view applied to the plan.
• Selected items to republish only those assignments that are selected.
3. Select the Become a manager for these assignments check box.
Note Before the new manager can make a change to a project, the new manager
must be granted the Save Project and Open Project category permissions for
the project by your server administrator (administrator: Sets up and manages
user accounts, assigns permissions, and helps users with network or server
access issues. This person can also manage and customize various elements in
Project Professional and in Project Server.) or by the original manager of
the plan. If you are the original manager, log on to Microsoft Office Project
Web Access 2003, go to the Project Center, select the project, and then click
Edit. On the Project Details page, select the new manager from the Owner list.

Dale,

With everyones help I was able to identify the tasks that were assigned to
me and the tasks assigned to the PM. It looks like after the PM took
ownership, and we did the original re-publish and made the PM the owner of
all tasks, I worked on the file for the PM and added several new tasks. These
new tasks had me as the PM and that is why we were both getting updates from
the resources.

Thx again to everyone,
Darrell
