Track Changes

I have a user here who uses track changes frequently. He had an issue where
the document had 3 different authors making changes within the document.
Each author had a different color. However, when he emailed the document out
the recipient would receive the document but the colors would all revert to
one color. After researching this KB I found the solution was
Tools\Options\Security\Uncheck 'Remove personal information from file
properties on save'.

This worked great for some time. Just today this feature has become
unchecked and his same issue was back. We now know how to go about fixing
this now but the user would like to know Why this has become unchecked.

Any help would be greatly appreciated.

Do you mean "why the option has become checked instead of unchecked"?

If the "Remove personal information from file properties on Save" is being
selected then someone, or something, is doing it as this option is stored
with the document. IOW, if on your end, the option isn't selected then it's
being selected on the recipient's end in some way. It could be the recipient
has an add-in that removes metadata (such as the data found in the File
Properties) from files each time they save. There's also an add-in available
for versions of Word prior to Word 2007, Remove Hidden Data
(http://www.microsoft.com/downloads/...ED-D43E-42CA-BC7B-5446D34E5360&displaylang=en)
that will select the option as well. If someone is using the utility on the
document then that would explain why this is happening.

Also, are you sure this issue is the "remove file properties" option? The
way tracked changes display is based on your personal preferences. If on one
computer they elect to display changes in a specific color then that color
will be used for every author. These options are computer dependent - not
document dependent. IOW, you might see them by author on one computer but
all in the same color on another computer.

These options are found under Tools/Options/Track Changes.

I know this doesn't exactly answer your question but there really isn't a
specific reason for this to occur.
