Update actuals from project professional 2003

Jose M. Dominguez

Hello:

I've been using EPM 2003 with managed time periods.

Now I want to include some old projects (MS Project 2000)
with actuals in them in my server. I've activated non
managed periods mode so that I can feed actuals from
project professional 2003, but each time I publish a
project those actuals are not included on timesheets.

I have checked the adjust actuals permission for me as
project manager and administrator.

What else I'm missing?

Thanks
Jose

When you publish the old projects, you must do the following:

1. Click Collaborate - Publish - Republish Assignments
2. Select the "Overwrite actual work entered by resources" option
3. Click OK

Doing so will "push" the actual work from the project plan to each
resource's timesheet. Hope this helps.

Jose:

With managed periods turned off, use Collaborate > Republish and select the
checkbox to overwrite actuals in the timesheets.

To piggy back on this question,

When you Synch to Prtotected actuals, do they become part
of the plan. So that you could then push back by
republishing in the way you described?

I do not want to overwrite the time sheets and Ruin my
protected actuals, but I do have a bit of data on the
plans, I would like to push out to the time sheets.

Additionally, How is it possible that Synch to Protected
actuals does not actually Synch. I still have ~80 more in
the protected actuals even after I have restored the
actual work.

Thanks

The assumption behind protected actuals with managed time periods is that
the numbers entered by resources in PWA in each time period are "sacred" and
should not be changed by the project manager in the Microsoft Project plan.
When Jose was attempting to import a project with actuals into Project
Server, he wanted to bring historic data into Project Server from previously
existing projects. To do this, he was first required to turn off managed
time periods, and then to import the project and to republish the
assignments using Collaborate - Publish - Republish Assignments. The
republishing of assignments will "push" the actuals from the Microsoft
Project plan to each user's timesheet. Once he has done so, he will need to
turn on managed time periods again to project the actuals entered in each
user's timesheet. Hope this helps.

So a follow-up question based upon several threads I've read through
about updating actuals. Dale Howard has mentioned that options for
adjusting actuals for someone else include:

1) Getting resources usernames/passwords and logging on to adjust
their time (bad option)
2) Turning off managed time periods mode and then republishing and
overwriting actuals, then turning managed mode back on.

My question is what, if any, problems are there with using an admin
account to adjust actuals (Resources --> Adjust Actuals --> Select
Resource(s) and adjust actuals --> Update) in PWA?

In at least one case when we did this, the hours did not properly
transfer in the Project DB, but they did show up correctly in PWA. I
am now facing option #2 above to try to fix this problem and get
everything properly published... we run macros to pull data from the
DB, and I need to get the data updated.

Also, when changing the managed time periods on and off, in PWA, I have
to temporarily turn off the Approve Timesheets option. Is this how it
should be done, or is there another way to turn the managed time
periods mode on and off?

Thanks,

David
