Using Project Server for billing/invoicing information

Hi all,

is there a way to use the information from Project Server to inform an
accounting package of the amount that needs to be billed in a particular
month? I want to be able to use percentage completion of a project to inform
the accounts package. e.g. I have a project worth $18,000 over 3 months or
so. At the end of the first month, I'm 50% complete, so I want the status of
the project at 50% complete to indicate to accounts that 50% of billing can
take place, i.e. $9000. In the 2nd and 3rd month, the remaining is split
into 25% chunks, so I am billing $4500 per month.

What accounts packages, if any have people linked to? At the moment we're
considering Sage Line 200.

Hi DM,

Yes that is certainly possible. Project Server consist of a development
capabillity called PSI ( Project Server Interface ) which is a web service
API. Based on this API you can integrate with other systems like an ERP
system. We have done this quite a view times now since many organisation need
to have this integration. There are also 3rd party products out there which
allow you to integrate wiht ERP systems like SAP.
It very much depends on your ERP system, but generally you will need to
develop this capabillity. I hope this helps

that's good news. If there are any examples of integrations, that'd be
great. Currently looking at Dynamics SL (which I know integrates already),
Sage Line 200 (preferred package) and SAP Business One.

Hello,

continuing on from this scenario, we realize that whilst it seems easy to
split the billing over the three month period as set out below based upon
%age complete of the project, what happens if the project timeline extends?
How is billing then handled?
For example if the $18k project extends from 3 months to 4 months, and
you've completed 50% of the tasks within month one based on a three month
program and bill $9k, how does Project Server calculate the remaining
billing?

DM that is not an easy question to answer. Generally if your project extends
that means that more effort is envolved and therefore more cost are
generated. Lets assume that the extra month is based on one person needing to
work more hours (work), than the project becomes more expensive and you will
need to charge more for your services.
As I mentioned that is a general comment, it very much depends on your
business and what you need to achieve. Think about what you want to happen
and then develop a solution around this requirement.
