Vacation Problem

Hi

I have a Resource that work 10 Hours Per day and 6 days a Week. For
every week resource work i need to give him two off days (2 Weeks = 4
offDays or Vacations). The 10 Hours per day work and 6 days a week
calender is a project calender defined in enterprize global. the
Resource also have its own calender for normal 8 hoiurs work defined in
global template. All the project tasks work is calculated per 10 hours
becuase the 10 hours project celender is selected. So 1 days means 10
hour of Work. But the problem is

When i assign the resource offdays for 14 Days of duration it
calculates the work 140 Hours and duration 10 days (14 * 10). i had
choosen the task calender to none. project professional automatically
calculates the days by using the 100 / 8 hours per day which means 17.5
days. this thing is wrong. Please see the example below

Normal Activity
----------------------------------------------
Task Name : Site Work3-1
duration 14 wks
Work 840 hrs
C.Weeks 3.96
Calender Name E_Site_10x6 (Project Calendar)
ignor resource. Calender Yes
Start Date Tue 3/1/05
End Date Mon 6/6/05
Resource Name Jerry

Leave/Vacation Activity
----------------------------------------------
Task Name : Off Days
duration 14 days
Work 140 hrs
C.Weeks 3.31
Calender Name None
ignor resource. Calender No
Start Date Tue 6/7/05
End Date Thu 6/30/05
Resource Name Jerry

I want to give him vacation for 14 days. even if i had selected the
task calender to none it is calculating the dates as per project
celender. which results in wrong dates shown in task. i had tried it
using the fix duration but the task includes the normal offdays (Sat,
Sun) in the task duration as well. Why this happens is there is any
other way out to fix the vacation issue.

I need to fix this problem. Please help me in this regard

Thanks in advance

Your problem is entirely caused by calendars, which is what you surmise.
There are several ways you can resolve this problem:

1. Your Project Server administrator can set up the resource's real working
schedule on his personal calendar in the Enterprise Resource Pool, including
his 2 vacation days off after each 6 days of work. These changes will then
impact the schedule of every task to which he is assigned. This method
would be most effective if you are going to use this resource frequently on
a considerable number of tasks.

2. If this issue is for only one task, then you could create a task
calendar which you could apply to the task in question. This is assuming,
however, that the Project Server administrator allows the use of local
calendars in a project (if not, he/she would need to create an enterprise
calendar for you). On this task calendar, you would need to show the
working schedule for this task (10 hours/day x 6 days/week with 2 days off
every week). Before you apply the calendar to the task, you would need to
remove the resource from the task, set the calendar as a task calendar and
select the "Scheduling ignores resource scheduling" option. Then when you
reassign the resource to the task, he will work the correct schedule with
the correct number of hours of Work.

Hope this helps.

Thanks for your reply. First solution was ok but my problm was 2nd and
I have tried the 2nd one and it work fine but i used an offline version
of MPP. I am confused of doing this on project server. here are my
questions.
1. What is the issue behind using Local base calender (Read "Enterprise
Global Template" discussion with Ken about local calenders and
currency)
2. Will Admin needs to create enterprize task calender for every
resource or just single enterprize calender is required.
3. Can i use the above defined calender in any project
4. Will use of this calender effects my resource availability for other
projects.
5. Should i just create an activity off days in project or assign non
working time in task calender? (VIP)

I am going to try in a published project. can you please answer these
question

Thanks and Regards

Jerry

You are asking me very general questions about a very specific situation in
your organization, so I can only give you general answers and you will need
to apply them to your specific situation. Here's a stab at what you asked:

1. The default security setting in Project Server 2003 does not allow the
use of local base calendars in any enterprise project. This means that
project managers cannot create their own calendars in their own projects,
and requires that the the Project Server administrator create every custom
calendar required in the organization. Because of your situation, your
organization might want to allow the use of local base calendars, which
means that your Project Server administrator would need to allow this
permission by clicking Admin - Server configuration in PWA and selecting the
"Allow projects to use local base calendars".

2. See #1 discussion above to decide what is right for your organization.
Beyond this, the working schedule shown on each resource's calendar in the
Enteprise Resource Pool should reflect their real working schedule. If
people customarily work 10-hour days, their calendars should NOT show an 8
hour day as their working schedule. I think this situation may be part of
the cause of your original problem.

3. If your Project Server administrator creates any custom calendars in the
Enterprise Global, then you can use any of these custom calendars in your
projects as either the Project Calendar (click Project - Project Information
to set this calendar) or as a task calendar. You cannot set a custom
calendar on an enterprise resource in a project, as this can only be done by
the Project Server administrator in the Enterprise Resource Pool.

4. Yes. However you assign a resource to a task in one project will impact
resource availability in other projects during the same time period as the
task in your project.

5. The answer is up to you. Do whatever is necessary to correctly plan and
schedule your project.

Hope these answers help.
