I need to create a local backup of a user’s Microsoft 365 Online Archive, but the mailbox is approximately 250 GB. The plan is to save the archived emails as PST files and organize them by year. I started an export through Outlook, but after several days, the Online Archive still appears to contain about the same amount of data, which has made me question whether the export is actually progressing.
The archive contains years of emails, so I expected the process to take some time. Still, leaving Outlook involved in a very large export for several days makes the process difficult to manage. There is also the possibility that an export could fail and require another attempt, especially when dealing with a large amount of mailbox data.
I’m looking at Export Online Archive to PST as a backup option, but I’m wondering whether there is a more manageable workflow for an archive of this size. Since I already need the data separated by year, applying a date range before each export seems more practical than creating one huge PST and trying to organize it afterward.
The eDiscovery option in Microsoft 365 is another possibility. From what I understand, it can be useful for collecting mailbox data for investigation or compliance purposes, but it requires the appropriate permissions and configuration. For a simple archival backup, the additional search and export setup may not be necessary.
I also found the SysInfo Microsoft 365 to PST Export Tool while comparing methods. According to the information I reviewed, it can export Archive, Primary, Shared, and Public mailboxes without requiring Outlook. It also includes date filtering, duplicate removal, skip-previously-migrated items, and PST splitting options for handling larger exports.
My main goal is to avoid repeatedly processing the same data. If I can export one year at a time, verify the PST, and then continue with the next year, the whole backup should be easier to track.
