Word 2000 and Word XP file incompatibility

Chris

Hi,

We are currently working on a project where we have two
companies sharing documents.

We use Word 2002 and the other company uses Word 2000

The problem we have is the documents we create in Word
2002 seem to become corrupted when opened and/or edited
in Word 2000.

Sometimes the people using Word 2000 cannot even open the
documents from Word 2002

Any assistance will be greatly received

For the most part, documents created in Word 2002 should work fine in Word
2000, losing only features that are specific to Word 2002. Even then, the
document is fine, you simply don't see something you might've seen in Word
2002.

But, to be sure, in Word 2002, you can choose Tools - Options -
Compatibility, and set Recommended Options for Word 2000. Also, in Tools -
Options - Save, check Disable Features Introduced After Microsoft Word 97.
That would guarantee that formatting isn't the issue.

A common problem occurs, however, if documents are saved *from Word*
directly to removable media such as floppies and zip disks, or if they are
opened directly from removable media. If that's what you're doing, then
documents are practically guaranteed to get corrupted. If you're using
removable media to transfer files, then save/close the file in Word, and
then use Windows Explorer to copy the file to the removable media. When
opening the files on the other machine, the same rules apply in reverse. Use
Windows Explorer to copy the files, then have Word open them from the hard
disk, not from the removable media.

Hi Again,

Thanks for your feedback ... you mentioned that the file
will definately be corrupted if they are opened or closed
from a removable media ... does this apply to Emailing
the document? As it seems that the Word 2000 people
sometimes have problems opening our documents from Email ?

I will try your solution re "Recommended Options for Word
2000" but is there a patch that the Word 2000 users can
load to get around this (the project team has around 60
people and it could be a difficult one to manage).

Before opening the document from an email, they should right-click and save
the attachment to a local drive first. However, it is possible that doc
attachments are being corrupted during transmission. The best solution for
this is to use WinZip to zip the files before attaching to the email. Zipped
files seem much more robust (as well as being much smaller than docs). If
you email regularly, WinZip would be a good (cheap) investment.
