Add resources only from resource pool?

Danny

I am using a shared resource pool and want to keep users of shared projects
from adding resources to the pool. In other words, I am trying to only let
the shared projects add resources from the existing pool. I put a write
protect, but can still add resources to the pool by typing in a new resource
name in the shared project and having it updated to the resource pool. Is
there in MSProject to keep this from happening?

Hio,

I'm afraid there isn't.
I use a VBA routine to check the names versus a backup copy and delete what
as been entered as "a parasite"

Hi Danny,

In addition to Jan's answer (not 100% possible without VBA), you may also
want to make sure that each of the other users of Project have the option
"Automatically add new resources and tasks" disabled on their machines. The
Option is enabled by default and is in the Tool > Options, General tab. (I
think it's the General tab, I am not on a machine with Project installed
currently.)

By disabiling that option, a Project user who attempts to add resources will
be warned that they are adding a resource who is not already in the pool
file. Sadly, they can still elect to add the resource, but at least it makes
it more visible.

I hope this helps. Let us know how you get along.

Hi Julie,

This does help, but doesn't really solve my problem. I think the only way is
to make sure the schedulers are trained to only select resources from the
resource pool.

Hi Danny,

I agree, this is a training and performance issue on the part of the
schedulers.

As I noted, Automatically Add New Resources and Tasks is not bomb-proof.
If a user selects "Yes", they can still add the incorrect resource to
the pool.

Hi Jan,

The problem that I have encountered with the new resource added is that if
the resource has been assigned a task and work, then I can not delete the new
resource from the resource pool without first getting the offender to remove
the resource from the task assigned. Is this right or am I seeing things?

Hi,

Indeed, you cannot delete BUT through the Assign Resources Window you can
replce it with the proper name: select all tasks (all, irrespective!)
display the assign resources window (there's a button on the toolba, select
the intruder, replace... by the righteous one!
