Archieved Project problem

Hi All,

We have archieved some of the closed projects in EPM 2003 but the team
members and project managers are still able to see the projects. Some of the
project managers are still getting the timesheet for approval after closing
the project. Please let me know how to disable this permanently.

I have followed all these steps but still the managers and team members are
seeing the closed projects and the timesheets are still going for approval.
Any other help in this regard is appreciated.

Did your PMs do their steps as well? They have to open each completed
project and set the Booking value to Proposed for each enterprise resource
in the project, and then they need to publish the project using
Collaborate - Publish - All Information. Are you absolutely certain that
everyone is doing this? And are you absolutely certain that each PM has set
the proper value in the Production Status field for every project (Project -
Project Information) and then published the project using Collaborate -
Publish - All Information. If everyone doesn't do their part, then the
archive process won't work. Let us know what you find.

Yes, the project managers have followed the steps for closing the project.
Also i have personally checked before doing the administrative closeout.
Could you suggest any other solution to this problem?

Nope. Our methodology was never meant to cover every possible archiving
need. If you want true archiving of your enterprise projects, you should
consider purchasing the Physical Archive tool at:

http://www.projectmadeeasy.com/archive.htm

Please note that I have never used this tool personally, but it is the only
one on the market. Hope this helps.

Dale, we've used your method for a while now and it works fine, although we
have noticed that if a task on an active project had been deleted, once the
whole project is archived for some mysterious reason the deleted task
reappears on timesheets (plus the associated summary tasks). The team member
has to "Hide" the task then it goes away entirely. Sneha, is that what
you're seeing? Dale, have you heard of that before? It's a minor
inconvenience since otherwise the whole process is very helpful (PS2003 by
the way).

Nope, I haven't heard of that. Then again, are your PMs clicking
Collaborate - Publish - All Information, or Collaborate - Publish -
Republish Assignments? Clicking the latter could be the cause. If they are
doing the former, then I would suspect you are seeing a design flaw in the
system. Let us know.

Hi Dale, it took us a while to archive the next project but we just did and
can confirm that if a task has been hidden in the Tasks timesheet view, and
then the project is archived using your process (including Publish All
Information, not just Publish -- Republish Assignments), the hidden task
reappears. Once re-hidden it stays hidden, and of course goes away
completely when the project is deleted from the server. Anyway, that's the
story, but as I mentioned it's just a minor snag.
