Available To - Available From Fields

R

Robert

In Proj Prof 2007, these fields on the General tab of the Resource
Information dialog box seem inconsistant with the Available To and Available
From resource fields when displayed in a Resource view.

The DAY FOLLOWING the value of the Available To field in the Resource dialog
box is overwriting the Available From field in a Resource view.

Both fields appear to be read only in Resource views. The Available To
field in a Resource view never populates.

What's wrong?

Thanks Jan,

Here's the situation. Several resources have left the company. Their tasks
will be assigned to others. I need to block the availability of the ones who
left, and add the successors. Deleting the resources that are no longer
available is a very bad approach.

Only one ine in the Resource dialog is being populated. For the ones that
left, only the "To" field is populated. Yes, the NEXT line may be the
currently active line, but they should not be available at all.

Suggestions???

Thanks,
Robert

Thanks Mike, I'd be glad to post this to the project server group, but can
you helpo me understand why? In the first line of my post I said "In Proj
Prof 2007."

Thanks,

Well, Robert, I assumed (wrongly?) that having forked out for the expensive
Professional version you were using it with Project Server for which it was
designed. If you are using a server, the answers to questions can be
significantly different to using Project Standard. However, Pro can be used
as a stand-alone program whence it is the same as the Standard version.

No resolution yet. Can anyone offer any suggestions. Project Server is not
involved.

Thanks,

Hi Robert,

Running Project 2007 Professional SP-1 I see the following:

Resource Availability set on Resource Information dialog box:

Available From: 1/1/08
Available to: 7/31/08
Max. Units 100%

When viewed in the Resource Usage view with a system date of today:
Available from: 8/1/08 12:00 am
Available to: NA
Max. Units 0%

This makes perfect sense. After 7/31/08 at 11:59 pm the resource's
availability is zero because I haven't entered any other entry in the
Resource Information dialog box.

If I edit the resource availability and add a second row:
Available from: 8/1/08
Available to: [No entry]
Max. Units 50%

Viewed in the Resource Sheet:
Available from: 8/18/08 12:00 am
Available to: NA
Max. Units 50%

Because I have not entered a date in the Available to: field it reads
NA when viewed in both places.

If I edit the second line to:
Available from: 8/1/08
Available to 8/31/08
Max. Units: 50 %

The same data including the available to date of 8/31/08 11:59 pm
shows in the Resource Sheet.

So, in short, Jan was correct. The information displayed in the
Resource sheet is the information relative to the current date.

For the resources who have left the company their max. units should be
zero currently. Remember, you can still assign resources who have
zero max units -- it will just overallocate them.

You can use the Assign Resources dialog box to replace the resources
who have left the company with the new resources. Project will
maintain any actual work data on tasks where there is tracked work
with the resource who has left and assign any remaining work to the
new resource.

I hope this helps. Let us know how you get along.

Thanks Julie,

The requirement to enter the second line, with 0% MaxUnits is the part I was
missing!

Hi Robert,

Go to the Gantt Chart
Click the Assign Resources button
Select all tasks
In the Assign Resources window select the leaver
Click Replace
Select the sucessor, OK.

Actual work by the leaver will not be replaced, only for planned work.
BTW putting the availability to zero will only make the leaver
"overallocated" and will not change the plan.
