Best strategy to present budget information?

Hi,

I am seeking advice on the topic of how to present budgets with data from
MSP. I have exported timescaled data to Excel, and that works pretty well. I
have used reports, both standard and customized, and that works pretty well
apart from the fact that you do not seem to be able to edit or copy the
report after creating it. Still I have some problems.

In this particular case I would like to be able to print a table with some
summary tasks on in a left column, for example:
planning
design
testing

In a particular project we focus on internal and external (sub-suppliers or
consultant) costs, so that would it would be nice to be able to have that as
two columns for the values. Let´s say, planning is internal cost 10 kUSD and
external cost 5 kUSD, total 15 kUSD in the fourth column. (This is typically
a pivot chart thing I guess).

I have divided resources into internal and external by group in the resource
sheet. But I do not seem to be able to complete my matrix with this data. It
is in there I know, but how do I get it out without messing around for hours
in Excel? Or is that the only way?

My first thought when reading your post was a Pivot Table in Excel.
You may also want to look into a customized grouping within MS Project:
Project/Group By.../Customize Group By. You would label column headings as
needed such as Text1=External, Text2=Consultant Fees, etc.

Dear Jim,

thanks for your reply. You are right, it should be possible to solve with a
pivot table, but then I would need MSP to export all activities like
dataposts with columns like: summary activity, task name, cost AND it would
need to make one task that uses both internal and external resources as two
dataposts with the same name.

If I could do that export, it would help tremendously!

Grouping will not help me since one activity could use both internal and
external activities.
