Deadlines

Is there a way to filter for tasks with missed deadlines when I am still
working at the planning level rather than recording actual? I can see that
an information icon appears when a deadline is missed but there doesn’t seem
to be a preset filter nor does the autofilter arrow show on the Information
column.

I am using Project 2000.

Create a custom filter. Project > Filter > More Filters > New. Under Field
Name, enter Deadline. Under Test, enter Is greater than. Under Value, enter
[Finish].

Hi Mary Ann,

You can create a custom filter to show the tasks with a Finish date later
than the Deadline date.
(Note the steps below are from Project 2003, but I think it is the same for
Project 2000).

Choose Project>Filtered for>More Filters.... then click the New button.

Give a name to the new filter in the Filter Definition dialog box and select
the Show in menu check box.
Field name: Finish
Test: Is greater than
Values: [Deadline]

Check to show related summary rows if desired.
Click OK to save the filter.

The newly created filter should now appear in the More Filters dialog box.
Select apply or highlight to show the tasks with the finish date after the
deadline date.

Hope this helps. Let us know how you get along.

Hi Reid,
Unfortunately testing for Deadline Is greater than [Finish] will return all
tasks without a deadline as well as tasks where [Finish] is before the
deadline. I think you meant Finish Is greater than [Deadline].

Hi Reid,
I understand completely. There have been way too many times I have wished
for a "D'oh reversal" button on these newsgroups!

Thanks Julie – works a treat!

I have another question about deadlines. This time to do with the green
arrow marker in the Gantt chart.

The green arrow disappears when I use the GanttChartWizard icon to display
the critical path and it does not get shown again if I use the Wizard to
revert to a standard display. Is there a way to display the critical path
and include the deadline green arrow marker in the Gantt and to then revert
to a display without the critical path that will also still include the green
arrow marker?

Hope you can help – not sure if this should have been a new post – perhaps
you’ll let me know.

Thanks anyway

Hi Mary Ann,

Yes, the problem with the Gantt Chart Wizard in Project 2000 was the
definition for the deadline marker was missing.

I would create a new view (View>More Views, and copy the Gantt Chart.)
Rename the view "Critical Gantt with Deadline" or such. Run the Gantt Chart
Wizard to add the Critical formatting.
Then once the new view is formatted, go to Format> Bar Styles.
Scroll to the bottom of the list of bars in the dialog and in the last row
add:
Name: Deadline
Appearance: on the Bars tab at the bottom of the dialog Select the down
arrow for the Start Shape, Type is framed, color green.
Show for...Tasks: leave blank
Row: 1
From: Deadline
To: Deadline
Click OK.

You can repeat the Format>Bar Styles command to add the Deadline marker to
other views as needed. Be cautious about re-running the Gantt Chart Wizard
again, but by creating specific views you can easily switch between the
Critical Gantt with Deadline view and other views as needed.

Hope this helps. Let us know how you get along.

The deadline field effects leveling because it has the same effect on slack
time calculations as does a MFNLT constraint, so if tasks are pushed out
beyond their deadlines you'll see negative slack start to appear. It's sort
of like putting a MFNLT constraint on some milestones or the project finish
and then turning off the "Tasks Always Obey Constraint Dates" in the options
settings but unlike that approach, deadlines don't have the undesirable
global effects that disabling constraint obedience does.
