Filtering with Consolidation

For instance,
I have filter TASK(X) where x is from 1-10, and
I have filter TASK(Y) where y is from 1-50,

Normally, when I click Project...Filtered For... I see all these TASK(X) and
TASK(Y) filters individually,
However, i want to be able to consolidate TASK(X) under NAMEX, and then when
i click Project....Filtered For...NAMEX, I will see my TASK(X) where x is
from 1-10 under NAMEX...

Do you know of a way to do that?

Ah... is there a reason you posted this twice?

I'm a little confused on exactly how your filters are structured - too
many "X's" and "Y's" I guess. So why don't you try explaining it again,
but in different terms, then maybe we can help. For example, one good
way to explain your filter is to show it in this form:

And/Or Field Name Test Value
?? ?? ?? ??

Better still, it would be better to explain you end goal rather than a
specific method for achieving it. Maybe using filters is not the optimum
approach.

Firstly, I have accidently posted this question twice...a new bee to the
forum.

All i want to do is to group particular filters under one common group name,
this will allow me to organize. Rather than looking for a particular filter
i will click on the project name and this will inturn show the filters i have
under that project name...

Have I made it clearer?

Here is another way of explaining it.
In windows XP, when you click start (lower left)...you will see PROGRAMS
and with a little right arrow...when you click on PROGRAMS it will then take
you to several programs like Accessories etc.

This is exactly the visuality I want. if we regard the PROGRAMS my project
name then the programs would be my filters...

So, I want to click on my project name then see my filters rather than
seeing all the filters at the same time...

I thought this might explain things better.

There is not a grouping function like your XP Programs example. However,
you can add or remove filters (any many other attributes) by using the
Organizer function. The filter names that are displayed in any project are
ones that you have created in that project file AND those that exist in the
Global.MPT (MS Project's template that is loaded every time you open MSP).

To only show filters you want to use for that project, go to Tools ->
Organizer. Select the Filters tab. The drop downs at the bottom will list
all the files that are open, including the Global.MPT. Select the
appropriate open project and Delete all unwanted filters form the Global.MPT
(usually defaulted on the left side) and from the project file. Note: one
disadvantage of removing from the Global.MPT is that re-use of a filter in a
different project requires that you open the project containing the filter
that you want to use in order to copy to a new project. - or you can
re-create it in the new project.

Yes, that does explain it better. It still doesn't tell us what your end
goal is. As I said, maybe a filtering approach is not the optimum
solution. Nonetheless, as Wiley explained, there is no grouping feature
for filters. However if you only care about what shows in the menu when
you hit Project/Filtered for, there is a partial solution. In the Filter
Definition window, check or uncheck the box to "show in menu" next to
the filter name. Just be aware that at least one filter ("all tasks")
will always be in the menu.

Hi Modern Talking,

Let's see if this helps. I assume you have already created the custom
filters and copied the filters to the Global template (Global.mpt)
through the Organizer.

You may customize the menu (or create a new menu) in Project by the
following:

1. View > Toolbars > Customize and click the Commands tab.
2. Scroll to the bottom of the Categories: list and select New Menu.
3. On the right side of the Customize dialog box under Commands select
the New Menu item and either drag to an existing menu (such as the
Project menu) or drag to the desired space on the menu bar.
4. You'll now see the "New Menu" item either in the existing menu or at
the top of the menu. Right click on the "New Menu" item to show the
shortcut menu. The third option is Name: enter a new name to replace
the "New Menu" text -- for example your NAMEX text. Do not close the
customize dialog box.
5. In the Customize dialog box, select the All Commands category in the
Categories list on the left.
6. Scroll the Command list on the right and find the FilterApply item
and drag the FilterApply Item onto and then to the right of the NAMEX
menu item. The FilterApply Item will appear in a "submenu" arrangement
with the name Apply Filter.....
7. Right click the Apply Filter.... item and choose Assign Macro... in
the shortcut menu to show the Customize Tool dialog box. In the Command
field, click after the FilterApply text, add a space and type the name
of the custom filter enclosed in quotes. So if your custom filter was
named TASK(X) the command line would read:
FilterApply "TASK(X)"
8. Change the text in the Name: field as appropriate.
9. Click the OK button to close the Customize Tool dialog box.
10. Repeat steps 6 through 9 for each custom filter you wish to add to
the custom menu.
11. Click the Close button to close the Customize dialog box.

This is exactly what I was looking for. Thank you. But doing this for more
than 100 filters can get cumbersome. Also, I noticed that i can not change
the filter formula when i do a right click on the new created submenu...i
have to go to the same filter outside the New Menu to do that... If you can
comment on this, great, if not, your reply was very helpful...Thank you again

You are most welcome and thanks for the feedback.

To your question about being unable to modify the filter by right
clicking, I have to say I am a bit lost. Are you saying you can open
the original menu Project > Filtered For > , right click on a filter
name and modify the filter from there? If so, that isn't something I am
able to do even without a modified menu.

If you are saying that you have to go to the original Project > Filtered
For > More Filters command to be able to edit the filter because you
don't have that option in your custom menu, we can fix that. :)

If you go through step 6 I outlined and add the command named "Filters"
from the All Commands list to your new menu, you will be able to get to
the More Filters dialog box from your custom menu. You do not need to
go through step 7 (Assign Macro) to the Filters command nor step 8
(changing the name).
