Mr Eckers

Hi.

i have build a "master" project and inserted many projects into the "master"
file.
now i have done this i have a few questions:

1. is it possible to auto-expand every project and task at the click of a
button? if so how
2. can you auto expand certain tasks within many projects at once, again at
the tuch of a button
3.how do you make specific filters
4. can you create icons that when you click them filters are automatically
put in place

i need this to happen as i have built an intergrated marketing project for
my organisation and i need to make it as user friendly as possible for the
staff.

any help from anyone would be greatfull.

Hi Mr Eckers,

Welcome to this Microsoft Project newsgroup :)

1. In the Formatting toolbar there is button called Show. If you select
Level1 it will hide all but the project summary bars. Reverse the process by
clocking Show/All subtasks.

2. If you can find a way of telling Project which are the appropriate tasks
then yes.

3. #2 could also be done by appropriate filters: see my series on Microsoft
Project in the TechTrax ezine, particularly #22 on using filters, at this

Dear Microsoft Office Project User,

Since, your primary goal is to "build" a master schedule that is integrated
with sub schedules, I though it would be better if you understand how the
"critical path" is calculated in the "master" schedule.

By default, Microsoft Office Project treats inserted projects as summary
tasks. That is, if the inserted project has critical tasks and the inserted
project is not in the critical path of the "master" project then it would not
be highlighted.

So, if you want to turn off this feature, then select Tools > Options,
Calculation tab and uncheck Inserted projects are calculated like summary
tasks option.

Sorry to be ignorant but no im afraid that doesn’t help me at all, I have to
confess I am a novice when it comes to computers im afraid, especially
Microsoft project

So im going to be cheeky and ask for some more help. Hope that’s okay

Hi Mike, really appreciate you taking the time to respond. However sorry to

1) The formatting toolbar, now I assume u mean the tab “format� and if so
then I couldn’t find the button called show. Like I said im trying to find
away to auto-expand every task at the click of a button. The reason for this
being that I have 8 projects within one master file. And within each of these
projects there are 15 sub tasks. And as im sure you can imagine, opening all
of them is a pain staking task.
2) My next step would be to only expand certain sub tasks within certain
projects at the click of a button, your response was yes however you said I
would have to tell project what the tasks were.. im afraid to me that makes
no sense..

Try a right click in a toolbar and select the Formatting toolbar.

You said you want to expand only certain tasks. Somehow you have to select
the certain tasks as Project cannot read your mind! Read the article first
and then come back if you need to.

Hi Mike,

Ive been looking at your websites, and im very impressed. I wished I
discovered it earlier.
im going to set up filters and macros now (hopefully via your instructions)

I do have one problem though. And im not sure you have covered it.

As I said I have inserted 8 projects into one master file (now i need to be
careful how i explain it so I don’t confuse you)

Basically I work for a top football club in England, (if you are a fan of
football please let me know an ill send you some signed merchandise, however
for some reason I get the impression you are an American.. im not sure why)
and im trying to build an integrated marketing tool. now each main sponsor
has their own project. the projects themselves are all the same except the
tasks are edited to suit them.

i have now entered all the sponsors projects into a "master" file.

in the master file 6 out of the 8 projects are fine. however two of them are
not.

in the simplest way to explain it

when you look at the screen it has

Master

sponsor 1
sponsor 2
sponsor 3

and so forth all down in one line. when i go to open the sponsor files. i
click on the + sign next to the name, and 6 out of 8 open up to the subtasks.
however 2 of them then look like this

sponsor 1
sponsor 1

I then have to click on the second task (basically i have to open the task
twice. meaning when I click on the show filters it plays up.

don’t suppose you could shed any light on this annoying problem.

i have tried so many ways, even entered them into a different master file,
and checked how they are mapped.. but its the same as the other 6.

Hi Mr Eckers,

Thank you for your kind comments and offer :) No, not American, I am English
and live near Swindon. I'm not a particular fan of football, but my
grandchildren most definitely are! Which club? (or email me if you wish at
glenATmvps.org, swapping the AT for @).

Your problem could be due to the way the project summary is set up. Have a
look at each and check Tools/Options/View tab and check on the "Show project
summary". A project with that checked should have its ID as a zero. If the
project summary has been created by indenting all the tasks below it, then
its ID will be 1.
