I am trying to automate the process of generating a Directory (pamphlet) in
Publisher automatically using data from and Access Database: bio fields and
linked photos, somethihng like an Address book with photos and data, 4 entries
per page. The process needs to be automated because revising (inserting
and sorting manually) would be a nightmare, though I will need to edit within
Publisher.
1) I have no idea how to import the data into Publisher pages. except
copy/paste manually from an rtf file... slow, mistake-prone, etc.
2) A second issue, Access can't seem to show linked photos in reports or
queries except using bmp format. ???

I am creating a booklet in Publisher 2003. I have many Access reports that I
want to include as part of the Publisher booklet. I have tried creating a PDF
and selecting and some other methods but the quality is not nearly as good
when copied and pasted into Publisher. Any ideas on how to take an Access
report and copy/paste or insert into Publisher where there is very high
quality?

Right-click the report in Access, export, save as .rtf or .txt.

file, browse to the report.

Thank you. I did exactly as you said it it worked, the print is now much
better. The only problem is the data overflows the text box. I can place in a
table and manipulate, but I would like to not have to do that. Any ideas on
how I can get the Access report to fit format almost exactly like it is in
Access? I know a picture will do the job, but the quality is not there. Your
solution is perfect to get the printing crisp, any ideas to make the job less
cumbersome when inserting the report?

There are tricks you can use to span two pages with your table in a booklet

You also can create another text box and link them so the text flows. You also
can use the *continued on page....*(format text box, text box tab).

Thanks. I guess I am just lazy. I wish that when you create a PDF and then
simply copy and past that it would print crisply. This way I have the exact
document formatted already. I easily copy and paste a picture but the
crsipness is just not there. The other methods will require formatiing in
Publisher to make it look right. Many thanks for your help.

If your final product is going to be a .pdf file, why not insert the .

That is a very good idea.
That is a very good idea. I was planning to print the report from Publisher
but I could just create a PDF of the Publisher report and then creat numerous
PDF files from Access reports. If I insert one of these Access PDFs as a PDF
in the primary PDF will I be able to have the proper page numbers noted so
the report is seamless?

Thank you. I cannot believe how helpful everyone is. Unfortunately, I will
not be creating a PDF since I am merging in about 100 company names into the
Publisher document.
I have tried the 'Universal Document Converter' that creates my Access pages
into a TIFF. This seems to work pretty well. I tried JPEG but it is not as
crisp. This way I just paste it onto the page in Publisher as-as. Do you know
of any other vendor where I can create the TIFF/JPEG/etc. that will be most
clear when inserting into Publisher?

How do I get brackets around negative numbers in my Access reports? It is
easy with currency but I cannot figure out how to do it with non-currency
numbers.

Yes, create a new section at the point where you want to insert the .pdf.
Yes, create a new section at the point where you want to insert the .pdf. If
the report goes in after page 5, start the new section at that point and
change the page numbering to reflect the new page number. You do that for
each place where you want to insert a report.. It'll be a bit of a hassle
but nothing major. I'm not real sure how you can tell Access to put a page
number on the report but *maybe* that could be omitted.
I don't know which program you'll be using to create your .pdf files but
Acrobat makes assembling .pdf files easy. PrimoPDF can also do it but not
nearly as simply as Acrobat. Hey, what can you expect from a free program?
(I'm just tickled I can append files now.)
