Huge document size-Word 2003

L

Linus

I know that many people asked about this before, and several MS people
replied with solutions. for instance a 7-steps by Suzanne S. Barnhill,
Microsoft MVP (Word)

In my case: I am sure I have checked ALL 7 points (1. Fast Saves: 2. Preview
Picture, 3. Versions, 4. Revisions, 5. Embedded True Type fonts, 6. Embedded
graphics, 7. Embedded objects).

The result is that it did not help! I deleted all the text and kept 5
"words", saved as a new doc. and the resulting doc size==23 MB!

If I could attach file here I would do it, so you people can have a look on
it!

Thanks Wally and Bobs for qucik reply.

I have already tried hidden data removal, no effect!

About header graphics, it contained a embedded pic (ca 500 Kb), But I
removed it! Can it be the case that removed pic is still hiding in the doc?

Hi Linus,

It's possible that the document file is corrupted and
is not 'letting go' of old content.

You can try to use File=>Save as and save to a new file
name, checking that it is a "Word Document" file type
to see if that reduces the size. If not, then
turn on the 'paragraph mark' icon on the toolbar
and copy the contents of your file *except* the
last paragraph mark to a new document and save
that.

You could also use File=>Web Page Preview to see the file in
the browser. When it displays, in the browser 'address'
bar delete the last part of the file name (xxxx.htm) and
hit enter. That should show you the folder contents that
make up the web page. Check there, including a subfolder
to see if the document has stored a large amount of non-text
content.

Here is my new test results: with save as Web page,

As you see I got one graphics file plus one oledata.mso file (170kb) in
subdir.

After this line there are a lot of fonts (30-40).

But this can still NOT make a 22MB file? not reasonablely.

Hi Linus,

Did you also save to a new file name and then close
and open that file and use the other techniques suggested?

If there is nothing in your file beyond five words of text
then the webpage preview should not be showing a graphic
or an oledata.mso file type and the document may be
corrupted.

Yes, no graphics was show when viewing it in a browser.
And, when I open the .htm file in Word again and Save it back as word.doc
file, I got a file size 900kb (no graphics), is this normal?

Hi Linus,

No, but 900K is a lot smaller than 23mb <g>.
It sounds like you still have more than 5 words
of text in the file and the document may be corrupted
as mentioned.

Did you try the other two save techniques to create
a new file with the steps mentioned?

Do you have the picture placeholder setting turned off
in Tools=>Options=>View and are you working in print
layout view?

You can also open the document from File=>Open,
choose the 'recover text' file type and then copy
out the text content to a new file and save that
for a clean file.

Hi Bob,

It worked to reduce file size through saveas-webpage, now my file size
reduced from 40mb to 3.7mb. So far so good.

But what is the reason? How do we prevent it? these question remains...

Thanks for helping

There are some strange behavior too related to formating, maybe I'll send a
new message....

Hi Linus,

So, you actually did have more than just
five words of text in the document you
meant to have :)

Word's document structure is fairly complex
and sometimes moving between versions can
cause some hiccups in larger documents.

Once a document is corrupted you need to
repair or replace it.

For Word specific issues on formatting use the
Word newsgroups, link below, and you may also want
to look through some of the information on
http://mvps.word.org
