Mail Merge in a custom setup

I'm a teacher who created a custom design that divides the sheet into five so
I can make desk nametags. In the main design window I can mail merge my
student's names and scroll through and see the recipients, but when I go to
print it will only print whatever name is on the screen. Five copies of John
Smith for example instead of merging all the names to the same document. I
have no problems merging when making labels or nametags, or on a normal full
-size sheet. Is the probelm because I created a custom design? Thanks.

The problem is you have all five copies on your screen. You need to setup one desk
tag in page setup. You can adjust the gaps and margins there if you have Publisher
2002 or 2003. Earlier versions you will set the gaps and margins when you are ready
to print.

No, there is only one template on my screen, not five. Print preview shows
five, but no in normal view. I have Publisher 2003. I can see where you can
adjust the gaps and margins in Change Copies per sheet, but the print preview
is still just one page, and all the same name, just fewer copies if the
margins/gaps are changed. How do I set one desk tag in page setup? I
couldn't see this option, or find it in the help section. Thanks

Did you actually try printing?
Print Preview only ever shows one record; printing out will merge one record
per name tag.

In your first post you said that you printed. In the second post you say
print preview. There is a bug in Publisher which doesn't allow you to
preview the different names, it only shows one name. However, if you
actually print, it will print properly. Do a test print using the TEST
button on the print dialog to see this.

Or if you choose the Office Document Image Writer printer instead of your
default printer, you can see what your print out will look like on screen.

Setup the page to be the size of a single nametag. Then in print setup,
specify multiple pages to print. This instruction is very general since I
don't know which version of Publisher you are using. Each version has
slightly different terminology and procedures, but it all begins with using
a page size which is the size of only a single item.

Thanks Brian, this worked perfectly, and printed correctly too. Much
appreciated as I was going to share this and how to make nametags with some
teachers at a workshop on Friday. They'll love this!!
