Managing the size of Outlook Mailboxes

We have a mailbox which is used to receive all incoming messages to the PMO
team within our IS department. These messages often include large
attached files. This mailbox regularly exceeds the maximum size limits set
by our organisation.

The Auto Archive function is not available to us - Outlook is not configured
such that this option is available.

If we copy emails to a file share then we lose the searchability (e.g.
searching by sender name, date etc).

We need to be able to store old emails in a way that allows us to carry out
meaningful searches (for audit trail purposes) whilst keeping our mailbox to
a manageable size.

Can anyone offer any suggestions ?

Where does your organisation expect your team to file? They're the ones
that need to provide you with a supported solution.

Some of my clients use a Public Folder with restricted permissions to file
into, most use add-ins that provide corporate filing eg OnePlaceMail.
