Meeting Event

We have Exchange2003 with Outlook2003. Users in our office have created a
recurring meeting but as a template therefore the user saves the meeting as
opposed to sending it. I make it a recurring meeting for weekly, on Friday
with no end date. I hit the ok button to the recurrance box then I go to save
it. I get a pop-up box saying "the invitation has not been sent. Would you
like to send it". I click the NO button and then I go back to my calendar
with the meeting I created shown in my calendar. Then going to the next
occurence the user will add users to get the invitation, add a subject and
add some info about the meeting in the workspace. I send it successfully to
the invited users. Now I want to check who has accepted or declined so I go
to the meeting event and double click on it. I get a pop-up box saying
"this event is a recurring appointment. Do you want to open only this
occurrence or the series?" I select "Open tthis occurrence" and the meeting
event opens up. I check Tracking and then I want to close the meeting event
so I click on Save and Close or I hit the red X at the top right of the
screen and it the meeting event will not close. I have to either click on
"Send Update" or close Outlook inorder for the meeting event will close.
Please assist.
