An archive PST is a Personal Folders file no different in structure than the
Personal Folders file Outlook normally uses. The difference is that Outlook
will move items from the main Personal Folders file to the archive
automatically based on the criteria you set.

You use a Personal Folders file whenever you want to store anything in
Outlook, unless you're using an Exchange server, which can then take the
place of the default Personal Folders file.

We are on an Exchange server. So from what I understand, Personal Folder
File has the same function as the Archive.pst file. Both files are located
outside the exchange server and are backed up daily

correct me if I am wrong.

PST files are on your local hard drive by default, and should be left
there - MS doesn't support accessing them from a LAN/WAN connection. If you
must use PSTs (and I don't recommend it) you should leave them on your hard
drive & regularly copy them to the server for backup, when Outlook is
closed. You might automate this with a batch file.

The PST that Outlook has defined in the File>Archive setings is a PST to
which Outlook will automatically move messages basd on the other Autoarchive
settings. It's still a "personal folders file", in exactly the same sense
that any other PST is a personal folders file, and its name has no
particular significance. What makes it special is the fact that it's
configured in Outlook's autoarchive settings.

Any other PST is just an ordinary storage file for Outlook data that people
can use to store things off the Exchange folder. They can move messages to
it manually.
