Hi Kajo,
The choices of Printers in File=>Print in
Word would depend on what printer drivers
are installed for a particular computer /user
and for network printers may also
depend on what access rights
may have been given to a user/profile by
the network administrator. Check
with the administrator for that.
If you can use Add Printers in
the Windows Control Panel you may
be able to install the additional printer
driver for your work neighbor.
For the printers that are installed
you may be able to change the printer name
by right clicking on the list of installed
printers and Choosing Properties, but
the path to the printer may not be the
same.
Word is text reflow software rather than page
layout software and the presentation of text
on screen is affected by the properties of
a particular printer driver capabilities
(for example a laser printer may have smaller
bottom of page margins available than what
a specific inkjet printer may have avaialable.
You can also experience layout adjustments
for the same printer when the drivers are for
different versions of Windows as you mentioned
is your case.
The printer name selected in File=>Print in
Word (may be different for you than another person)
is what Word uses when you use File=>Open.
If you know that a specific printer is going
to be the one both people have access to then
you can store the name of a specific printer
in the File=>Properties of Word and you can
use a Word macro to select and change the printer
driver when a document is opened.

Your problem isn't the printer name. The printer name is determined by the
server. Your problem seems to be Word remembering the printer the document
was composed for. You might want to post in the Word newsgroup and see what
they say...
