Resource summary for night shifts

P

Phil G

I have two shifts - (day shift) 7am - 7 pm and (night shift) 7 pm - 7 am the
next day.

I'd like a summary report of resources needed per shift but the standard
reports will split the night shift across two days.

Any ideas?

Phil,
To truly get what you want your best bet is to export Project data to
Excel using VBA. Using that approach you can format and/or graph any
type of report you want.

If you are using Project 2007 you could try using the Visual Reports
feature to export Project timescaled data to Excel via pivot table but
it will still require a fair amount of data manipulation to get it in
the form you need. For Project 2000 through 2003, you could use the
"analyze timescale data in Excel" utility although that will require
even more data manipulation.

For a "kinda close" approach directly in Project, try the following.
Designate a spare number field on the Resource Sheet and call that the
shift designator. Then for each resource assign either a "1" or "2"
depending on what shift that resource works. Finally, on the Resource
Usage view, use Project's grouping feature (Project/Group By/Customize
Group by) to group assignments by the shift designator field. The work
totals for each day on the group summary lines will tell you how many
total shift hours are needed.

Of course all of the above assumes you have set up your project calendar
for 24 hours, each resource has a custom work calendar corresponding to
their work shifts, and Tools/Options/Schedule tab has the proper
settings for default start and end times and hours per day.

This is the best I can come up with given a quick analysis. If someone
else has a better approach, I hope they will post.

Hope this helps.
